Animalog & Security


Here at Animalog, security is at the core of our pet treatment system.

All data handled by Animalog and by the Animalog system is kept secure at all times, our processes and procedures meet all of the UK GDPR regulations and data protection laws.

Any data held within your Animalog account is yours and only yours. This data is not utilised by Animalog in any form and will not be passed to 3rd parties.

When you set up an Animalog account for your pet treatment centre you will be provided with a secure username and password. Your login details can be managed and amended yourself via your Animalog account.

The main user of your Animalog account can set up and manage access for the rest of your team members. You decide what they have access to and you have the ability to remove said access at any point with a click of a button.

Should you need any assistance with your login details or managing your team members accounts then you can simply reach out to the Animalog support team.

On top of our security efforts, there are steps that we advise you take to enhance the security of your Animalog account and the data stored within the said account. Those steps are:

Step 1: Update your Security Policy

Make it a part of your centre’s security policy to change your password for your Animalog account/s on a regular basis.

For some centres, it will be appropriate for the password to be changed each month, for others it may only be appropriate for the password to be changed every 6 or 12 months.

Whatever works for you and your centre, ensure its a part of your policy and that it is enforced within the reasonable timeframe.

Step 2: Don’t Write Any Passwords Down

It may sound obvious but unfortunately its something that happens all to often. Avoid writing your Animalog password down on whiteboards within the office, on the corner of your computer screen and even within a notebook.

Making your passwords easy to remember but secure is possible. If you need assistance with generating a secure password then contact Animalog support for advice.

Step 3: Use a Business Email Address

Your Animalog username will most likely be your email address. Due to this, it is preferable for the email address used to be a company email address – a.k.a bob@companyname.co.uk instead of bob.smith@gmail.com. This helps to ensure that your pet treatment centre has control over the username/email address used and avoids issues with security.

Step 4: Consider What You Export

When you are exporting data from Animalog for use offline or with other systems it's important to consider what you are exporting. Do you need to export your entire client list to check something? Or can you export only those that are relevant?

On top of this, consider what you do with the data that you export. You can password-protect files on your computer and the computer that holds the data itself should be password protected. Most importantly, you should ensure that you have successfully deleted the downloaded data from your computer when you have completed the task that you needed it for. After all, should you need this data again at a later date you can simply re-download it from your Animalog account.

If you have printed this data, then it's important to ensure that this printed copy of the data is kept safe and that once it is no longer needed then it is destroyed.

Step 5: And Lastly, Use the User Management Element of Animalog

Every person within your team that uses Animalog should have their own login details. Remember that there is no limit to the number of users within your Animalog account, whether you have 2 team members or 200, the monthly price for Animalog stays the same.

Having individual user accounts within your Animalog account is important for two reasons. Firstly, it means that you can restrict access to parts of the system on a user level. For example, you can ensure that the centre manager has overall access, but that an admin member of your team can only access the appointments section and the caretaker can only access the water level section of Animalog.

By restricting the access to sections of your Animalog account you can ensure that only the appropriate people can access the appropriate data. Helping to keep the data you store within your Animalog account safe.

The second reason as to why it's important for each individual within your team to have their own Animalog login details is because it allows you to track what data your team have accessed and exported. This helps to flag up issues should you have data leaks within your centre.

And of course, these access levels can be amended at any point by the main user of the Animalog account. Ensuring that the system works with you and grows with you.
